Approval workflows
Multi-stage approvals routed through Teams or email, with outcomes logged to SharePoint or Dataverse.
Your team should not be chasing approvals by email or moving files between Microsoft 365 apps by hand. We design, build and maintain Power Automate flows: approval workflows, SharePoint routing, Teams notifications, scheduled reports and system-to-system connectors. Perth-based, working Australia-wide.
Someone emails an approval request, someone moves a file to the right SharePoint folder, someone re-keys data from a Form into a spreadsheet. Every day, every week, forever.
These steps follow the same rules every time, which is exactly what Power Automate is built for. It sits natively inside Microsoft 365, so there is no new infrastructure to manage and no data leaving your tenant. We connect the apps your team already uses and let the routine work run itself, with a human in the loop only where judgement is genuinely needed.
Want the outcomes view across your whole Microsoft estate? See Microsoft 365 automation. This page covers the Power Automate tool itself: building flows, connector decisions, licensing and governance.
Multi-stage approvals routed through Teams or email, with outcomes logged to SharePoint or Dataverse.
Documents moved, renamed or tagged automatically based on metadata, form input or content type.
Status changes, deadlines and system events pushed into the right Teams channel or chat, without a person in the middle.
Emails classified, flagged, forwarded or responded to on a rule set, keeping inboxes manageable.
Form responses and spreadsheet updates written to SharePoint lists or Dataverse tables without double entry.
Scheduled cleanup, archiving, permission changes or sync between OneDrive and SharePoint.
Data pulled from Microsoft 365 sources on a schedule and delivered as a report to email or Teams.
Power Automate connectors linking Microsoft apps to external systems: CRMs, ERPs, databases or HTTP endpoints.
Whatever the repetitive Microsoft 365 step is in your business, we will assess it and build the flow if it fits.
Power Automate is a strong choice when your stack is Microsoft-heavy and flows stay within the Microsoft trust boundary. It is less suitable in a few situations, and we will tell you upfront when a different tool is the better fit.
If your automations need to run outside Microsoft 365 or you want full control over infrastructure and costs, a self-hosted open-source tool like n8n is worth considering. See our n8n consulting page for an honest comparison. Power Automate: native Microsoft stack, Microsoft licensing, runs in your tenant. n8n: self-hosted or cloud, open-source, not tied to a Microsoft licence.
Power Automate licensing splits across standard connectors (included in most Microsoft 365 plans) and premium connectors, which require a separate per-user or per-flow Power Automate licence. We scope the connector requirements before we build, so you know the Microsoft bill impact before committing.
Governance matters as much as the flows themselves. We set up environments to separate production and development flows, apply data loss prevention policies to restrict which connectors can be used together, and configure run history and alerting so you have visibility into every flow execution.

Josh and the VibeZero team turned a mess of ideas into a working product faster than I thought possible. They actually listened to what we needed, didn't overcomplicate things, and delivered something our team could use straight away. Genuinely one of the best tech experiences I've had as a business owner.
Working with VibeZero was refreshingly straightforward. No jargon, no upselling, just solid work delivered on time. They understood our business from the first call and built exactly what we asked for. I'd recommend them to any small business looking to actually get results from AI.

Learn morePower Automate connects the Microsoft 365 apps your team already uses: SharePoint, Teams, Outlook, Excel, Forms and more. Common wins include approval workflows that replace email chains, document routing triggered by SharePoint events, scheduled reports pulled from Excel data, and notifications pushed into Teams when a condition is met. If the repetitive step lives inside the Microsoft stack, Power Automate can almost certainly handle it.
Power Automate is the right choice when your stack is Microsoft-heavy and you want flows that stay inside the Microsoft trust boundary. It becomes a poor fit when you need heavy data transformation, complex conditional branching with many paths, or integrations with non-Microsoft systems where the connectors are weak or expensive. In those cases, a self-hosted tool like n8n or purpose-built code is a better fit. We will tell you which applies to your situation before you commit to anything. See our <a href="/services/n8n-consultant" class="text-[#00f0ff] hover:underline">n8n consulting</a> page for the open-source alternative.
Power Automate has two licensing tiers that matter in practice: the included Microsoft 365 licence covers standard connectors (SharePoint, Teams, Outlook, Excel), while premium connectors (SQL, HTTP, third-party APIs, Dataverse) require a per-user or per-flow Power Automate licence. Most businesses start with standard connectors and add premium licences only when a specific integration demands it. We scope the connector and licensing requirements before we build anything so there are no surprises on your Microsoft bill.
Power Automate runs inside your Microsoft 365 tenant, so data stays within your existing security boundary. DLP policies and environment segmentation let you restrict which connectors flows can use and who can build and run them. We configure both as part of every engagement, not as an afterthought.
