When Power Automate is the wrong tool

Power Automate is a strong choice when your stack is Microsoft-heavy and flows stay within the Microsoft trust boundary. It is less suitable in a few situations, and we will tell you upfront when a different tool is the better fit.

If your automations need to run outside Microsoft 365 or you want full control over infrastructure and costs, a self-hosted open-source tool like n8n is worth considering. Connectors, licensing and control

Power Automate licensing splits across standard connectors (included in most Microsoft 365 plans) and premium connectors, which require a separate per-user or per-flow Power Automate licence. We scope the connector requirements before we build, so you know the Microsoft bill impact before committing.

Governance matters as much as the flows themselves. We set up environments to separate production and development flows, apply data loss prevention policies to restrict which connectors can be used together, and configure run history and alerting so you have visibility into every flow execution.
