AI automation for Australian small business

Small business automation with a proper system behind it

We connect the tools your business already uses and automate the admin between them. Start with one process, agree how the result will be measured and get a fixed price before the build begins.

The examples below are operating models. Your baseline is measured before savings are forecast.

Choose the first workflow

Start where the hand offs keep costing you time

The best first automation has a clear trigger, a repeatable path and a result you can measure. These examples combine the common time leaks with the system that could replace them.

Enquiry to booked work

Response time and admin hours

Current process

A form lands in an inbox. Someone copies it into the CRM, works out who owns it and sends the same reply again.

With automation

One submission creates the record, routes it, replies and sets the next task without losing the human handover.

HubSpot, Outlook, Gmail and n8n

Quote to payment

Preparation time and days to payment

Current process

A quote is prepared in one tool, entered again in Xero or MYOB and followed up when somebody remembers.

With automation

Approval creates the invoice, sends the payment link and schedules the right follow up.

Xero, MYOB, Power Automate and n8n

Weekly reporting

Preparation time and reporting errors

Current process

Figures are exported from several systems and rebuilt in a spreadsheet that is already out of date.

With automation

Approved data is collected on schedule and assembled into the same useful management view each time.

Xero, HubSpot, Excel and Airtable

Approvals and follow up

Cycle time and missed follow ups

Current process

Requests sit in email, reminders are sent by hand and nobody can see where a decision has stalled.

With automation

The request reaches the right person, records the decision and follows the agreed path when it is late.

Microsoft 365, Teams and Power Automate

Works with your current stack

We recommend a platform only after seeing the workflow, access model and systems involved.

Client proof

A small business should not have to buy a new platform to fix one process

The work starts with the way your business already operates. VibeZero scopes the useful change, builds it in systems you control and leaves you with documentation rather than a dependency.

Delivery and ownership

One workflow, scoped and controlled

You own the workflow, code, service accounts and deployment. We define the measure and the failure path before production, then put scope, timing and price in writing.

  1. Find the bottleneck

We map the current process, volumes, exceptions and time spent. If automation is the wrong answer, we say so.

  2. Agree the measure

We choose a baseline such as response time, preparation time or error rate before treating savings as a business case.

  3. Build in your accounts

The workflow, credentials and service accounts stay under your control. Scope, timing and price are agreed before the build.

  4. Test and hand over

We test normal and failure paths, document the workflow and show your team what to do when something changes.

Production controls

Business data needs the same care in a small workflow as it does in a large system

Where personal information is involved, we read the scope against applicable guidance from the Office of the Australian Information Commissioner.

  • Least privilege access for every integration
  • Secrets kept in a vault rather than the workflow
  • Human review where an AI decision needs it
  • Alerts and a safe stop when a workflow fails

One workflow

A sensible first engagement when one process is clearly wasting time.

A connected set

Several workflows can be sequenced when they share systems, data or approval logic.

Ongoing support

Monitoring, maintenance and further work are available if the system needs them. They are not compulsory.

Questions

What small businesses usually ask before starting

Most single workflows go live in one to two weeks. A connected set commonly takes two to six weeks. The useful measure begins with your current process, so we establish the baseline before making a savings claim.

Start with one workflow

Bring us the process your team is tired of doing by hand

We will map it, decide whether automation is worthwhile and quote the work before anything billable begins.

Free initial audit. Fixed price proposal. Outcomes measured against your baseline.
